Reporting to the Operations Director, the Office Coordinator is responsible for overseeing administrative support, ensuring office procedures and practices are being performed, and create and maintain a pleasant work environment. As the Office Coordinator, your duties include, but are not limited to: maintaining high-level communication; following up on assigned tasks; and anticipating and addressing problems. The Office Coordinator performs high-level administrative, organizational, and financial work unique to organization, requiring initiative and independent judgment.

Requirements

Financial

  • Perform bookkeeping functions related to processing income including:
    • expenses
    • bank deposits, and,
    • billing
  • Ensure office financial objectives are met by analyzing variances and carrying out the necessary corrections
  • Compile and provide a review of accounting data, trends, etc. .
  • Ensure accounting policies and procedures are being adhered to
  • Serve as point of contact for property maintenance, upkeep, and rent.
  • Ensure effective internal and external telephone and mail communications. Take and deliver phone messages
  • Manage mailing and shipping of materials and supplies for events and various activities related to serving the Umoja Community
  • Monitor and maintain the upkeep of office equipment (computers, phones, etc.) and supplies
  • Design, implement, and maintain filing and storage systems.
  • Schedule meetings and other events as needed.
  • Maintain a safe and secure working environment.
  • Other duties as assigned

Administrative

Work Environment

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Travel Required

  • Occasional local and statewide travel during work hours.

Required Education & Experience

  • Associates Degree
  • Strong background, experience, and understanding of working in a non-profit
  • Excellent verbal and written communication skills
  • Knowledge of QuickBooks, computers and software applications including, Excel and Microsoft
  • Minimum of 50 wpm typing.
  • Strong organizational, problem-solving, and analytical skills; ability to manage competing priorities.
  • Strong interpersonal skills; ability to deal effectively with a diversity of individuals at all organizational levels and provide a high level of customer service.
  • Good judgment, with the ability to make timely and sound decisions.
  • Willingness to work enthusiastically and patiently within constantly changing priorities.
  • Strong attention to detail.

  • Bachelor’s Degree
  • Comfortable working with a diverse and dynamic team
