Purchase, Enrollment & 45-Day Access Policy

Overview

This policy establishes the terms and conditions for purchasing Umoja Global Institute (UGI) professional development courses. It applies to all purchasers—whether institutions or individuals—and covers payment, enrollment, refunds, course access, and general terms of participation.

UGI is a program of the Umoja Community Education Foundation. All courses are delivered through the Canvas Learning Management System.

How to Purchase UGI Courses

UGI courses are available through three purchasing pathways, each designed for a different type of purchaser.

Institutions

Invoice Purchases

For colleges, universities, districts, and organizations purchasing on behalf of groups.

Invoice term: 30 calendar days
Fulfillment: Enrollment codes delivered electronically after payment confirmation
Teams & Groups

Credit Card Bulk (2+ Seats)

For departments, teams, or groups purchasing multiple seats at once.

Payment: Visa, Mastercard, Amex, Discover (via Stripe)
Fulfillment: Codes generated immediately; delivery email within 24 hours
Distribution: Purchaser distributes codes to participants
Individuals

Individual Purchase (1 Seat)

For individual practitioners enrolling for personal professional development.

Fulfillment: Automatic enrollment upon successful payment
Confirmation: Email with course access details after successful enrollment

All prices are listed in U.S. Dollars (USD).

Enrollment Codes

This section applies to institutional invoice purchases and credit card bulk purchases.

  • Code Generation: Enrollment codes are generated electronically. The number of codes matches the number of seats purchased and codes are delivered to the primary contact listed on the request form or purchase record.
  • Validity Period: Enrollment codes are valid for 12 months from the date of generation and may be used for any eligible UGI course listing within that period, subject to course availability, seat capacity, and pricing tier restrictions.
  • Expiration: Codes not redeemed within 12 months expire automatically and are not eligible for refund or reactivation. Extension requests must be submitted in writing before expiration and are granted at UGI's sole discretion.
  • Pricing Tier: UGI reserves the right to limit code redemption to course listings at the same pricing tier as originally purchased.
  • Transferability: Codes may be reassigned internally by the purchasing institution but may not be resold or distributed outside the purchasing organization.
  • Access Period: Once a participant redeems a code and enrolls in a course, the participant's 45-day completion window begins.

Course Structure & 45-Day Access Period

UGI courses are asynchronous professional development courses offered through rolling enrollment unless otherwise stated in a specific course listing. Participants may enroll at any time while a course listing is open and seats are available.

Each participant has 45 calendar days from the date of enrollment to complete the course.
  • Rolling Enrollment: Enrollment remains open while the course listing is active and seats are available. UGI may pause or close enrollment for administrative, capacity, course-maintenance, or platform-related reasons.
  • Course Access: Course access begins upon successful enrollment unless otherwise stated in the course listing. After the 45-day access period ends, course access may expire or become read-only.
  • Asynchronous Format: Course content is asynchronous. Participants may move through course materials within the 45-day access period.
  • Discussion Engagement: Some courses include discussion-based learning. Participants may view and engage with posts from learners whose access periods overlap with their own.
  • Seating: Capacity may be limited and enrollment is first-come, first-served. UGI may use waitlists when seat caps are reached.
  • Completion: Participants who successfully complete all course requirements within the 45-day access period receive a micro-credential certificate. Partial completion does not qualify for certification.
  • Extensions: Extensions are not guaranteed and may be granted only at UGI's sole discretion.

Refund Policy

Code-Based Purchases

Invoice & Bulk Credit Card

Once enrollment codes are generated, no refunds will be issued. Code generation constitutes fulfillment of purchase.

For invoice purchases, the invoice may be cancelled via written request before payment is received. Refunds may also be granted after payment but before codes have been generated.

For credit card bulk purchases, codes are generated immediately upon successful payment. No refunds are available after that point.

Individual Credit Card Purchases

Auto-Enrollment (1 Seat)

Refunds may be requested within 14 calendar days of purchase, provided the participant has not completed the course or received the micro-credential certificate.

Once 14 calendar days have passed from the date of purchase, all sales are final.

Refunds are not available for course non-completion, expired access, or failure to complete the course within the 45-day access period.

How to Request a Refund

  • Include: Your invoice number or purchase confirmation number and the reason for the request.
  • Processing Time: Approved refunds are processed within 5-7 business days and returned to the original payment method.

Chargebacks

Payment disputes filed as chargebacks with credit card companies may result in immediate course access revocation and account review. UGI reserves the right to pursue recovery of costs associated with fraudulent chargebacks.

Billing Disputes

Billing disputes must be submitted in writing within 15 calendar days of the invoice date for invoice purchases or the purchase date for credit card purchases.

A billing dispute is not a refund request and does not extend refund eligibility. Disputes should be sent to:

Acceptable Use

By enrolling in a UGI course, participants agree to use the platform and course materials for professional development purposes only. Participants agree to:

  • Not share login credentials with others
  • Not record, reproduce, or redistribute course content without written permission
  • Engage respectfully with instructors and fellow participants
  • Comply with Canvas Learning Management System terms of service

UGI reserves the right to monitor platform usage for compliance. Violation of these terms may result in immediate course access revocation without refund.

Intellectual Property

All course content, materials, and resources are the intellectual property of Umoja Community Education Foundation and its content creators. Purchasers receive a limited, non-transferable license to access course content for personal professional development only.

Limitation of Liability

Umoja Community Education Foundation's liability for any claim arising from course purchase or participation shall not exceed the amount paid for the course. UGI is not responsible for technical issues beyond its control, such as internet connectivity or device compatibility; loss of access due to user error or violation of acceptable use terms; expired access after the 45-day completion period; or participant outcomes or career advancement.

Privacy & Data Use

Personal information collected during purchase and enrollment is used solely for processing payment and delivering course access, communicating course updates and completion information, and improving UGI program quality through anonymous evaluation data.

UGI does not sell or share personal information with third parties except as required to process payments through Stripe or deliver courses through Canvas.

Course Cancellation or Suspension by UGI

UGI reserves the right to suspend, close, or cancel a course listing due to administrative needs, course revision, low enrollment, technical issues, or unforeseen circumstances.

If a paid participant is unable to complete a course due to UGI cancellation or suspension, UGI may issue a refund, transfer the participant to another available course, or extend access at UGI's discretion.

Governing Law

This policy shall be governed by the laws of the State of California.

Policy Amendments

UGI reserves the right to amend this policy as necessary. Material changes will be communicated to affected purchasers in advance when practical. Continued use of UGI services constitutes acceptance of policy updates.
